Business Transformation Associates Ltd. are very careful about the privacy of our clients, learners and visitors to our website, so always comply with the principles of the General Data Protection Regulation (GDPR) when dealing with all data we receive.

Information we collect from you

We provide forms on our website for contacting us with general enquiries and booking scheduled events. This generally includes asking you for information such as your name, email address, telephone number and nature of your enquiry. In the case of booking attendance at one of our scheduled training events you may also be asked to provide a home or business address.  

You may also contact us by telephone and provide the above personal information.

If you choose to pay for attendance at one of our events by credit or debit card then the necessary payment details will be collected through a secure payment gateway. We do not store or otherwise process your credit card details directly. Credit or debit card payment is not accepted by telephone.

Upon enrolment to one of our training programmes you will complete a paper based registration form (F03-7). This includes asking you for your name, address, telephone number, date of birth and your employer details. We do not collect any special personal data (such as health, disability, race, etc.) unless you wish to make us aware of special circumstances where it may be necessary to make reasonable adjustments at a venue or provide for special dietary needs.  

We automatically collect technical information from your website visit which will include your IP address, browser, operating system and pages you visit. This does not contain personal information.

What we do with the information

For information that you supply to us through our website forms we will contact you purely in relation to your enquiry or booking. We will use this to communicate with you to find the best way we can help you with your enquiry, which will usually end with us providing you with a proposal and/or cost for the service required. If your information was supplied in relation to a booking, we will use this to confirm and register your attendance and/or arrange payment. If you become a client as a result of your initial enquiry or a registered learner on one of our workshops, we will add your information to our secure in-house customer database, where we will store your name, address, contact telephone number and email address. This will help us with the services we offer and also assist with billing if necessary.

We retain personal data relating to payments, VAT, tax and accounts for the minimum statutory periods required by UK law.

We retain information relating to historic bookings and purchase to enable us to analyse the performance of the business over time and plan for the future success of the company. We only keep this information for as long as is necessary to perform this task.

We retain the name of all LCS learners that have successful been awarded a qualification in our Certificate Issue database located on our secure in-house server. This information is retained indefinitely to assist in the re-issue of lost or misplaced certificates if required.

If you chose not to proceed with a service or training event, we will keep your enquiry for 6 months should you wish to revisit it and after that point we will delete it from our database.

If you contract to a service or book a training course, then we may contact you with news about similar products or services that we think our clients or learners will find relevant and of interest. You may opt-out of receiving such communications by indicating your preference on our Customer Satisfaction Survey (F07-1) or at any time by contacting us via any of the means displayed on our website.

From time to time we may use your name or job title and company details (including company logo), when publishing feedback comments on the Testimonials page of our website or other marketing materials. You may opt-out of authorising such publicity by indicating your preference on the Course Enrolment Form (F03-7).

For technical data which we collect automatically, we will use this for internal operations including troubleshooting, data analysis, testing, research, statistical and survey purposes. Again, this information is anonymous and does not contain personal information.

How we receive and store this information

We collect data direct from our website visitors using a conversational form called Typeform which asks for information on how we can help or provide a service. This information is initially stored at Typeform and then sent to our email handler through a secure HTTPS channel and then emailed direct to us.

The information is stored on our email handler to ensure it has been successfully delivered after which it is deleted. Emails from the previous month are deleted on the 7th of the next month.  All information stored at Typeform from the previous month are also deleted within the first 7 days of the next month after we run anonymous reports which show us statistical information. These reports do not contain any personal information.

Technical information is collected, stored and reported on using Google Analytics.

Completed paper-based forms (F03-7 and F07-1) are stored in a locked filing cabinet on our office premises.

Database information is stored on our server which is located in a secure room contained within our main office. Access to the server is password protected.

Backup and data storage

Our website is hosted in the UK by Cronos Internet. We have a rolling 7 day backup and all data is stored securely at a secure, off-location facility. All Typeform information is stored in Spain.

Our office server is backed up weekly and data stored in a locked fireproof safe located in our secure server room.

Information requests

If you are a Business Transformation Associates Ltd. client or learner you may request to see what information we hold relating to you, free of charge. We can also amend or delete this data on your request.

Third parties

We will never sell or exchange mailing lists of client or learner information.

However, some of our suppliers will have temporary access to your information and we use them to help our service. We only use suppliers who follow GDPR guidelines themselves and are as follows:

Cronos Internet (UK) - www.cronosinternet.co.uk - Supply and manage the cloud server that our website is hosted on including daily backups. As Cronos manage the server they have full access to our databases which may store personal information.

Typeform (Spain) - www.typeform.com - Provide our conversational form solution. Typeform initially store and then send us all information submitted through our website forms.

Google Analytics (USA) analytics.google.com - Collects anonymous technical data from website visitors and shows us reports of page views, unique visitors, referrals to help improve our service.

Cookies

Our website uses "cookies" to track visitors on our website this helps us to better understand how they use it. These cookies do not contain or pass any personal, confidential or financial information or any other information that could be used to identify individual visitors. Please note that you are free to refuse cookies.

Communication, engagement and actions taken through external social media platforms that this website and its owners participate on are custom to the terms and conditions as well as the privacy policies held with each social media platform respectively.

Visitors are advised to use social media platforms wisely and communicate / engage upon them with due care and caution in regard to their own privacy and personal details. This website nor its owners will ever ask for personal or sensitive information through social media platforms and encourage users wishing to discuss sensitive details to contact them through primary communication channels such as by telephone or email.

This website may use social sharing buttons which help share web content directly from web pages to the social media platform in question. Visitors are advised before using such social sharing buttons that they do so at their own discretion and note that the social media platform may track and save your request to share a web page respectively through your social media platform account.
